Refund Policy
This Refund Policy explains the conditions under which TaxPilota may issue refunds or credits for advisory services. Please read this policy carefully before engaging our services.
1. Nature of Advisory Services
TaxPilota provides professional advisory and consulting services, including SaaS selection, workflow analysis, automation strategy, and operational workflow design. Because our deliverables consist of intellectual work — analysis, research, documentation, and recommendations — the nature of refunds differs from physical product returns.
Once advisory work has been performed and deliverables have been provided to the client, the intellectual effort invested cannot be reclaimed. Accordingly, our refund policy reflects the professional services context in which we operate.
2. Pre-Engagement Deposits
TaxPilota typically requires a deposit of 30% to 50% of the total engagement fee prior to commencing work. This deposit secures the engagement timeline and compensates for pre-engagement preparation, including scoping calls, preliminary research, and resource allocation.
2.1 Deposit Refund Window
If a client cancels an engagement before any substantive work has commenced, defined as before the first formal deliverable review session or the commencement of documented research activities, the deposit is refundable within the following conditions:
- Cancellation notice received in writing within seven (7) calendar days of deposit payment: Full deposit refund, less a $150 administrative processing fee.
- Cancellation notice received in writing between eight (8) and fourteen (14) calendar days of deposit payment: 50% deposit refund.
- Cancellation notice received after fourteen (14) calendar days: Deposit is non-refundable.
3. Refunds During Active Engagements
If a client terminates an active engagement after work has commenced, the following terms apply:
3.1 Work Completed to Date
TaxPilota will calculate fees for all work completed up to the termination date on a proportional basis. If fees paid exceed the value of work completed, TaxPilota will issue a credit or refund for the difference. If work completed exceeds fees paid, the client will be invoiced for the outstanding balance.
3.2 Deliverables Provided
Fees associated with completed deliverables that have been presented to and acknowledged by the client are non-refundable. This includes any written reports, process maps, workflow diagrams, or recommendations formally delivered, regardless of whether the client chooses to implement the recommendations.

5. Quality and Dispute Resolution
TaxPilota is committed to delivering high-quality advisory work. If you believe that a deliverable fails to meet the scope agreed upon in the Statement of Work, we encourage you to raise the concern with us within ten (10) business days of delivery.
Upon receiving a quality dispute, TaxPilota will:
- Acknowledge the dispute within three (3) business days.
- Review the deliverable and the agreed SOW scope.
- Offer one of the following resolutions: revision of the deliverable at no additional charge, partial credit toward future services, or, in cases of clear and demonstrable failure to deliver agreed scope, a partial refund.
Refunds will not be issued solely because a client disagrees with our recommendations or because recommendations did not produce expected business outcomes when implemented. Advisory services carry inherent uncertainty, and we do not guarantee specific operational results.
6. Non-Refundable Items
The following are explicitly non-refundable under all circumstances:
- Fees for any completed and formally presented deliverable.
- Deposits retained after the 14-day cancellation window.
- Fees for completed discovery calls or diagnostic sessions that resulted in documented outputs.
- Any fees associated with third-party costs incurred on behalf of the client with client approval.
- Rush service premiums, if applicable.
7. How to Request a Refund
To initiate a refund request, the client must submit a written request to TaxPilota via email at support@taxpilotra.com. The request must include:
- Client name and company name.
- Engagement reference number or Statement of Work date.
- Amount paid and date of payment.
- Reason for the refund request.
- Supporting documentation, if applicable.
TaxPilota will acknowledge all refund requests within three (3) business days and provide a resolution determination within ten (10) business days of receiving all required information.
8. Payment Method and Refund Processing
Approved refunds will be processed using the same payment method used for the original transaction. Processing times may vary depending on your bank or payment provider. TaxPilota is not responsible for delays caused by banking institutions. Refunds will not be issued in cash or via alternative payment methods not used in the original transaction.
9. Modifications to This Policy
TaxPilota reserves the right to modify this Refund Policy at any time. Modifications will not apply retroactively to engagements already in progress under a signed Statement of Work. The policy in effect at the time of engagement commencement governs that engagement.
